Send payment link to customer via status change
You can send a payment link to the customer by creating a status change that automatically triggers an email with the payment link.
Create new status:
- Go to Settings -> General -> Agreement Statuses
- Click on + the character to create a new status.
- Fill in the following information:
– Title: Payment link sent
– Key: Payment link
– Icon: far fa-clock
– Color: Choose a color (e.g. #4a2deb) - Click Save changes.
Set up workflow:
- Go to Workflow in the menu.
- If you don't already have a suitable workflow, click Create new workflow.
- Fill in the following fields:
– Workflow name: Payment link sent
– When this happens: Booking status changed
– Do this: Send email - Click Create.
- A new image appears:
– Under “When”, click “Change”.
– Under the "New status" field, select the status Payment link sent.
– Click Save. - Under "Do this," click "Change."
Fill in the following fields:
– To: Select customer
– Subject: Payment for your booking - Click the Find a ready-made template button and select Confirmation and payment link.
- Copy the template and paste it into the email editor by clicking>> again.
- Remove any payment methods in the email that you do not want to offer by highlighting them with the mouse and pressing Delete or Backspace.
- Click Save Email.
Using Payment Link Status
Everything is now ready to use! When you change the status of a booking to Payment link sent, an email will automatically be sent to the customer with the payment link. The customer can then click on the link and complete the payment, which will be recorded in your booking system as normal.
Manual method
Create a URL and send to the customer manually
Example: Say you have a booking listed as "Not paid". This can happen if the customer has booked via "Pay on site or via invoice" (local payment method). You can then create a digital payment link that you send to the customer with, for example, a normal email from your own email. Customers who click on this will then be directed to the payment method you have chosen. When this is paid, it will be automatically registered on the booking.
Guidance
1. Click on "Bookings" in the menu.
2. Find the booking in question and click on the three dots to the right of the booking. Click on "Info."
3. Under "Create payment link", select the desired payment method, and click "Create link".
4. Copy the entire URL and send it via your own email to the customer.
