Overview of all services

You can create your own services with multi-level service categories. The structured view allows you to easily categorize your company's services. You can navigate the service structure by dragging your mouse in any direction, like a map. You can also zoom in and out. If you lose the center of the map, you can automatically center it by clicking the button next to the zoom button.

 

Sort Categories and Services

To sort the order of the categories for your services, go to "Services" in the menu. Click the "Edit Order" button. There you can easily drag and drop the categories up or down to customize the order you want them to appear on your booking page.

In addition, you can drag and drop services within each category to create a structured and clear order.

  

Services

Services are the various services or products that the business offers for booking. These contain all information about the service, such as price, duration, and availability.

Options (personnel/object)

Options (personnel/object) are the individual employees or objects that can perform or be offered within the services. If an option is busy at a given time, it is busy on all services it is connected to.

Locations

Locations refer to the different places where services can be performed, such as different cities or departments.

Categories

Categories are groupings of services that make it easier for customers to find what they are looking for. Categories provide a cleaner overview of the services.

 

Service tabs when creating a service

When creating or editing a service, there are several tabs you need to review:

  • Service options (personnel or object)
  • Availability
  • Additional services
  • Settings
  • Booking restrictions

  


  

Guide to creating a service

  • Create a category:
    – Click on the “+” icon in front of “Categories” in the middle of the screen.
    – Enter the name of the category and click the save icon.
  • Add more categories:
  • – Repeat the above process as many times as you need. There is no limit to the number of categories and services.
  • Add a subcategory:
    – Click the “+” icon next to an existing category.
    – Select “Category” when prompted, and enter the name of the subcategory.
  • Add a service:
  • Click the “+” icon and select “Service.” A new window will open to add a service. 
  • Fill in the fields and save. The service is now created.

  


Explanation of each field when creating a "Service".

 

Tab: Service

Service image

Add an image for the service. Customers will see this image on your booking page.

Name

Enter the name of the service.

Category

The service is automatically connected to the selected category, but you can change this if necessary.

Price

Enter the price for the service. The currency is set in the settings, so just enter the amount, for example 50.00.

Duration

Enter the duration of the service, for example 1 hour.

Booking interval

Booking interval determines how often new times are available for booking. If the booking interval is set to 15 minutes, customers can choose from times that are 15 minutes apart.

You have three choices:

  • Default: Uses the time you have selected under general settings (Booking interval).
  • Use time for duration: Booking interval will be the same as the duration of the service.
  • Specify time: Enter a custom interval.

Buffer time before

If you need extra time before the service starts, enter it here. The time interval is displayed according to the length of the time slot.

Buffer time after

If you need additional time after the service is complete, please indicate that here.

Change color code of the service

You can change the color code of the service for better visibility in the calendar under "Calendar" in the menu. When creating or editing a service, click on the small green circle under the image of the service. Choose a color and remember to save.

Capacity

Specify whether customers should order the service individually or as a group:

  • Alone: The customer orders individually.
  • Group: Define the maximum number of customers who can participate.

Description

You can add a short description of the service. This information is visible to the customer in the booking panel. 

 

Multiple durations (give the customer the choice to choose other durations on the same service)

  •  Under "Multiple Durations," you can add multiple time options for the service and set specific prices for each duration. This gives the customer the option to choose a different duration than the default time set for the service. For example, you can add a 2-hour duration with a separate price, a 3-hour duration with a different price, or a full day with a specific price.
  • You can also use the "Show Tags" button to add extra information for each duration. If you don't need this, it can be turned off so that only the duration and price are displayed.
  • It is also possible to set a specific deposit for each duration, either as a percentage or as a fixed amount, if this is to be different from the standard deposit.
  • To add more durations, click the "Add more durations" button. If you want to delete a duration, you can use the red cross next to a duration. Note that it is not currently possible to sort the durations, so it may be a good idea to plan before adding many of them to each service.

   


 

Recurring bookings (rarely used)

If you want to add recurring services, you must enable this option.

What is a recurring service?

Some services are one-time appointments, while others are repeated over a period of time. For example, an eye doctor might offer a treatment that lasts for ten days. This type of service is a recurring service. After enabling this option, additional settings for recurring services will become available.

Select frequency

You can choose how often the customer will use the service:

  • Monthly
  • Weekly
  • Daily

Monthly recurring service

Select this option if the service repeats on specific days of the month. Customers can choose days such as the first Sunday, last Wednesday, or third Friday of each month.

Weekly recurring services

Select this option if the service repeats on specific days of the week, such as every Monday and Thursday.

Daily recurring services

Select this option if the service repeats every day or with a specific number of days between each time.

Duration ahead

If you check this option, you can limit the entire period of the recurring services. For example, if the treatment lasts for ten days, you specify this here. If you do not enable this option, the customer can specify the duration themselves when ordering.

Limit the number of bookings

This allows you to specify how many times the service can be repeated within the selected frequency. For example, by setting five days in a month, the customer can only select five days when ordering.

Payment

Determine how the recurring services will be paid for:

  • Customers only pay for the first agreement.
  • Customers must pay for all deals in the series.

Tab: Options

In the "Options" tab, you must add available staff or products for the service:

  • Click "Add option" and select an option.
  • If the service has a specific price for an option, check "Specific price" and enter the price. Otherwise, the standard service price is used.

What is an “Alternative”?

Services within a company can have multiple choices, called options, such as employees or products. This gives customers more options to choose from. Here are two examples:

  • More employees, same service:- Imagine you offer the service "Haircut".
    – If multiple hairdressers work in your company, each hairdresser can be added as a separate option under the service.
    – Customers can then choose which hairdresser they want to book with.
  • Multiple products, same service:- Imagine you offer "Medium size container rental".
    – If you have multiple containers available, each container can be listed as a separate option.
    – This allows customers to select a specific container when placing an order.

This way of organizing makes it easier for customers to find and choose the option that suits them best.

Tab: Additional services

In the "Extra services" tab, you can add additional services for your service. It can be anything. Fill in:

  • Enter name, price and duration.
  • Create a category.
  • Add a picture if desired.
  • When the customer adds an additional service, the duration is added to the original service.
  • If the additional service has no duration, leave the field blank.
  • You can also define the maximum number for the additional service.

 

Other settings for additional services

In the overview of Extra Services on a Service, you will find several settings buttons in a small menu that appears when you hover over an extra service. The menu appears on the far right of the extra service and contains the following icons:

  • – Edit: Represented by a pen, which allows you to edit the additional service.
  • – Hide extra service: Icon of an eye with a line through it, which hides the extra service from the booking page.
  • – Copy to other services: Icon of two sheets stacked on top of each other. Clicking here gives you two options:
       – Copy to all services: Copies the additional service to all services.
       – Copy to same category of services: Copies the additional service only to services within the same category.

 


  

Tab: Settings

Navigate to "Settings" for the service. Here you will have several options:

  • Visible to staff only: Make the service visible only on the control panel. Your customers will not see it on the Booking page.
  • Set service-specific payment methods. 
  • "Minimum time in advance before a booking can be booked" shows how far in advance the customer must make the reservation. For example, if it is set to 24 hours, the customer must book at least 24 hours in advance.
  • "How many days in advance can a booking be booked" shows how far in advance the customer can book. For example, if it is set to 30 days, the customer can book up to 30 days in advance of the service.

 


 

Tab: Booking limiter

Booking Limiter in Booking Service gives you control over your booking processes. With this feature, you can:

  • Prevent overbooking
  • Ensure even distribution of the workload
  • Maintain high quality of services

By setting limits on the number of bookings at different levels, you can customize the system to meet your business needs.

After completing all the fields for the service, click "Save" at the very bottom.
