Resend confirmation to customer via email or SMS

How to send a new confirmation to a customer

Sometimes it may be necessary to send a new email or SMS confirmation to a customer. Perhaps you or the customer needs a copy. This can be set up as a workflow that is triggered when the appointment time or booking status changes. Follow this guide to set up and use a workflow that sends a new confirmation on status change.

 

One-time setup

Create new agreement status

  • Go to Settings -> General -> Agreement Statuses.
  • Create a new status, e.g. "Approved, new confirmation" and check the box for "Mark as busy track".
  • Save.

Link status to a workflow

  • Go to Workflow in the menu and click "Create new workflow".
  • Fill in the following: Workflow name: For example, "New confirmation to customer". When this happens: Select "Booking status changes". Do this: Select either "Send email" or "Send SMS".
  • Under "When," click "Change" and set "New status" to "Approved, new confirmation." Save.
  • Under "Do this", click "Change", enter the email or SMS (you can copy from a previous confirmation), and save. Feel free to attach a PDF document if the customer wants a new receipt.

Now the settings are ready, and you can easily send a new confirmation if needed.

 


 

How to resend a confirmation

  • Go to Bookings in the menu.
  • Find and edit the booking by clicking the three dots on the right and selecting "Edit".
  • Change the status to "Approved, new confirmation" and save.
  • The confirmation will now be sent automatically via the workflow you have created.
